Publishers need to be aware of how online platforms affect workflow, and how mobile can be used to serve their digital editions.

Licensing software

Licensing the software can make a lot of sense. You get something well tested, technically supported, and often with free upgrades. The upgrades are what can kill publishers who decide to build from scratch.

Without an upgrade every two to three years, the site depreciates. The evolution of technology, together with reader expectations, is forcing digital editions to adopt new operating systems, browsers and platforms.

Licensing vendors charge a setup fee – usually a basic package license and additional costs for extras. Some vendors charge a per-page fee (say $2 per page), while others may charge a monthly fee.

If you choose the software license approach, expect to pay about $75,000 to $100,000. Two models follow thereafter: either the vendor runs the digital edition and charges fees to do so; or the publisher hires and trains staff.

In the long run, managing resources in-house is more economically viable. Otherwise, publishers lose the quality, speed and efficiency of their newsroom.

People and training

Publishing, particularly scholarly publishing, is a complex process involving people and technology. The long-term viability of useful web content is secured only by a strong back-end operation and a devoted staff.

Workflow imperatives

Assembly of the digital edition should not be a separate workflow from creating the print edition. An efficient way to integrate both is through a fully automated PDF to XML processing and workflow system.

XML processing systems must be language-independent and capable of processing very high volumes of publications quickly. It can include artificial intelligence to speed up decision-making.
